JHU Covidence Retention Policies implemented July 2026 for improved effectiveness and efficiency:
- Users and invited participants are responsible for exporting, saving and deleting completed reviews and all related data from Covidence.
- Accounts that have had no activity for three years or more will be deleted from the JHU institutional account along with all review data. Deletion will occur every fall for those previous three years after an annual email reminder is sent each July
- Systematic Reviews with 0 Imported documents for 1 year or more will be deleted every fall for the previous year or longer
- Once a user is no longer affiliated with Johns Hopkins, access to the Johns Hopkins Covidence account will end. To move a review to a personal or non-JHU institutional subscription please contact Covidence support at [email protected]
Steps for saving work:
- Save your work, export, extract and download all data for each individual project
- Remove yourself from any inactive project if you are not the primary investigator (PI)
- Delete all inactive projects if you are the primary investigator (PI)
- To delete, go to project settings and click on the red Delete button
